What we collect
When you use our enquiry or referral forms, we collect the details you provide: your name, contact details, your role (landlord, tenant, housing officer, or other), property details, and any information you include about housing needs or circumstances. We do not collect more than we need to respond to your enquiry.
Tenant referrals and sensitive information
Referrals from councils and support organisations may include information about a tenant's circumstances. We treat this information as confidential, use it solely to assess and arrange suitable housing, share it only with the parties necessary to complete a placement (for example, the prospective landlord and the referring authority), and do not use it for marketing.
How we use your information
We use the information you provide to respond to enquiries and referrals, assess property and tenancy suitability, coordinate placements with landlords and local authorities, and meet our legal and regulatory obligations. Our lawful bases under UK GDPR are: taking steps to enter into a contract, our legitimate interests in operating a lettings and placement service, and compliance with legal obligations.
How long we keep it
Enquiry information that does not lead to a placement is deleted within 12 months. Information connected to a tenancy or placement is kept for the duration of the relationship and for 6 years afterwards, in line with legal and contractual requirements.
Sharing
We never sell your information. We share it only with the parties involved in your enquiry or placement (landlords, local authorities, support organisations), and with service providers who process data on our behalf (such as our form-handling and email providers), under appropriate safeguards.
Your rights
Under UK GDPR you have the right to access, correct, or delete your personal information; to object to or restrict our processing; and to data portability. To exercise any right, email info@keypathlettings.com. You also have the right to complain to the Information Commissioner's Office at ico.org.uk.
Cookies
This website does not use advertising or tracking cookies. Essential functionality (such as remembering a submitted form) may use minimal local storage in your browser. If we add analytics in future, we will ask for your consent first and update this policy.
